Getting started with Outsourcey

The Outsourcey experience begins with a streamlined onboarding process designed to align our team with your objectives.

Personalized kickoff call

To set the stage for a strong collaboration, your dedicated Client Success Manager (CSM) will host a kickoff call to discuss your company’s goals, cultural values, and role-specific requirements for your agent(s). This step ensures we’re all on the same page from day one.

Scheduling

Once the role is filled, we’ll arrange a calendar placeholder for your agent’s start date. For a seamless introduction, you can directly coordinate your initial session with the agent to set expectations and clarify the role’s scope.

Equipment & Tools

If your agent requires particular tools or equipment, let us know in advance. We’ll work with you to ensure everything is in place so they can dive into their work without delay.

Timekeeping & billing with complete transparency

Outsourcey believes in full transparency when it comes to billing, timekeeping, and tracking performance. Our straightforward approach ensures that you’re always informed and in control.

Fair pay, clear tracking

At Outsourcey, our agents log in and out daily, ensuring full transparency in timekeeping. You’re only billed for time worked, and if an agent doesn’t show up, they are not paid.

Accessing timesheets

All timesheets and invoices are readily available in the Outsourcey Client Portal, providing you with a detailed view of each agent's work schedule. After receiving your first service invoice, you’ll be granted full access to the portal, allowing you to monitor and track billed hours at your convenience. Our timesheets include a comprehensive breakdown of start time, break hours, and end time.

Monthly invoicing

Β We compile invoices at the end of each month, detailing each aspect of billing to ensure transparency and ease of tracking.Β 

Technology & collaboration made simple

  • Project Management Tools. No matter the project management platform, we’ll ensure a seamless integration. Our teams are adaptable and committed to aligning with the tools that work best for your workflow.
  • Communication Flexibility. We respect your preferred communication methods, whether they’re email, video calls, chat apps, etc. Our flexibility allows us to align with your internal processes, creating an experience that feels like an extension of your in-house team.

Schedules, holidays & overtime

At Outsourcey, we understand that business demands can vary. That’s why we’ve built flexibility into our policies around scheduling, holidays, and overtime.

Holiday & leave policies

Agents are compensated only for hours worked. While Outsourcey observes local holidays, we work with you to tailor agent availability according to your business needs.

Overtime

Need support for a critical project? With your approval, agents can work extra hours to ensure deadlines are met.

Schedule adjustments

If you need to adjust hours or modify your agent’s schedule, simply reach out to your CSM. We’re here to accommodate changes smoothly and efficiently.

We help you set up compensation structures that align with your goals.

  • Annual increases. Typically, we apply a 5% raise on your contract’s anniversary. However, additional pay increases can be arranged through your CSM as needed.
  • Bonuses & incentives. We’ll work with you to design performance-based bonuses and incentives, helping you motivate your team and reward excellence.

We believe in flexibility & convenience, even when it comes to parting ways with an agent.

  • Flexible service cancellation. Β Outsourcey offers no lock-in contracts. If you need to cancel, all we require is a 30-day notice to wind down the service.
  • Seamless replacements. If an agent is not the right fit within the first 90 days, we’ll replace them at no additional cost. After this period, a 14-day notice is needed for any substitutions, ensuring continuity and minimal disruption to your operations.

As part of our onboarding, we conduct a Remote Work Readiness Assessment to evaluate each agent’s internet connectivity, hardware, and workspace setup.

Device Setup

Agents use their own devices and connect through your infrastructure (RDP or VDE).

Additional security options

If you need VDE for secure remote access, we offer this as an add-on service, ensuring both data security and seamless access.

Time & productivity tracking

We use advanced software for efficient time tracking, idle time monitoring, activity monitoring and web & app usage.

Ongoing Partnership & Billing Transparency

Every two weeks, we’ll send you attendance reports for review. Your approval helps maintain accuracy and transparency in billing. Monthly, your Outsourcey partner specialist will facilitate a review meeting to ensure client satisfaction and address any feedback.
